Relax and rejoice: IRS has Announced Form 1099-K Tax Reporting Delay

Tax season is going to be a little less overwhelming than anticipated — thanks to the IRS delaying the implementation of the 1099-K $600 reporting threshold for another year.

It’s the same story after every holiday season. The dread starts creeping in right from the dawn of the new year. Business owners and tax preparers both bury themselves under hundreds of forms and plague-like stress. 2023 tax time was expected to bring double that stress due to the potential onslaught of 1099-K forms.

But much to our relief, the IRS decided to hold off on the new reporting rule for another year. The agency announced right before Christmas last year that the 2022 tax year will be the transition period and the new rule will only take effect from January 31, 2024.

What does the 1099-K reporting delay mean?

Payment services such as PayPal, Venmo, CashApp and other Third-Party Settlement Organizations (TPSO) are required by the IRS to issue annual Form 1099-K. In March 2021, Congress changed the reporting rules and lowered the minimum reporting threshold to any amount exceeding $600. So, all individuals whose one or more business transactions were over $600, would receive Form 1099-K from these payment platforms.

This meant a potential blitz of forms, overwhelming pressure, and a crippling amount of confusion. After receiving heaps of public complaints, the IRS announced delaying the implementation of the lowered threshold by a year.

This means that the before-mentioned platforms won’t have to use the $600 threshold while reporting this year’s transactions on Form 1099-K. They will adhere to the old threshold and report transactions for a participating payee if they exceed an aggregate amount of $20,000 and the number of transactions is over 200.

Why did the IRS delay the new rule?

Businesses had expressed deep concerns and confusion about the procedure to report payments on Forms 1099-K. Since the threshold is so low, even a personal expense incorrectly filed under business payments would trigger a form. This could mean reporting errors leading to potential audits.

The staggering lack of information and guidance also had the taxpayers worried. Thankfully, the IRS listened to the complaints and realized that the transition period was necessary.

The Acting IRS Commissioner Doug O’Donnell stated in an official announcement, “To help smooth the transition and ensure clarity for taxpayers, tax professionals and industry, the IRS will delay implementation of the 1099-K changes. The additional time will help reduce confusion during the upcoming 2023 tax filing season and provide more time for taxpayers to prepare and understand the new reporting requirements.”

What should you do as a taxpayer?

For starters, stop panicking. The floodgates of forms won’t open. During this transition period, continue tracking and keeping records of all the payments received from online payments apps.

The delay is only for the 2022 tax year and does not change the taxability of income. However, if you’ve already received a 1099-K, the IRS is working to provide instructions and clarity so that taxpayers understand what to do.

While our efforts were primarily focused on getting prepared to switch to the new payment processor, we also managed to work out a couple of kinks and add some new features that will hopefully improve your experience. Let’s look at them in detail.

Display or Hide Professional Profiles

Professional profiles can be a good tool to allow customers to get to know your instructors better. However, depending on your setup, it may not always make sense to display a professional profile. Now, you will be able to choose to hide the professional profile depending on the Service or the User

To hide all instructor profiles for a particular service, go to Edit. On the Edit Service pop-up, turn off the ‘Display Professional Profile?’ toggle and hit save.

This will hide all your instructor profiles from that particular service. However, all the other sessions will still show your instructors’ profiles unless you choose to hide them.

In case you want to hide one particular instructor’s profile from the classes that they are set to instruct, go to the Users Section and click the Edit button next to that instructor’s profile. On the pop-up window that opens, turn off the ‘Display Professional Profile?’ toggle and hit save.

Clone a Package

Want to update pricing on a package or membership or create a new, slightly tweaked version of an old package? Now, you don’t have to go through the hassle of creating one from scratch because you can simply clone an existing package.

To clone an active package, go to the Admin section and click Products & Services from the left-side menu. Click the Edit button next to the package you want to clone.

On the ‘+ Edit Package/Membership’ modal, click the Clone Package link at the top.

You’ll be directed to the + Clone Package/Membership modal. From here, you can edit the package’s details including the pricing. Make sure you edit the details and mark your preferences before the package is purchased. You can always clone a package, click Save and edit it later but only as long as it remains unpurchased. Once it’s purchased, you won’t be able to edit certain details.

Note: Any details that were un-editable on the original package would be editable on the cloned package. All details of the old package will be copied to the cloned package including its limitations if any. Your original package will remain unchanged and associated with customers’ accounts as long as the membership has not been canceled.

Customer List Updates

Total number of Active Customers on the exported Customers list file

This may seem like a small thing but the total number of your Active and Inactive customers will now display on your exported report. It not only gives you an accurate count but could also provide a rough insight into your customer retention.

This could also help you determine if you should consider reaching out or providing special offers to get inactive customers back in the door and re-engaged with your services.

Your customer count will show up on the exported CSV file at the bottom of column A.

Hide the Customer List Export Button for Anyone without Reporting Access

Your instructors and other staff likely have access to your Fitli account but you might not want everyone to export your customer list.

To give you that added security, we’ve now made sure that any users on your account without the reporting access are not able to export your customer list. The ‘Export to CSV’ button will be unavailable to all non-authorized users.

Request Account Deletion in iOS App and Web

As much as we’d hate for any customer to leave us, we understand that they can have different reasons to do exactly that. If for some reason, a customer wants to completely delete their personal account and remove their information, they can request account deletion with just a few steps.

Account deletion on the web app

To request account deletion on the web app, the customer can simply log into their account and click the ‘ACCOUNT’ tab at the top menu.

They would then click ‘Request Account Deletion’ on the left side menu.

They will be directed to a new window explaining everything that happens when they permanently delete their account. If they want to continue, they should click ‘DELETE ACCOUNT’ and ‘CONFIRM.’

A confirmation message that the request has been submitted will pop up.

The customer will receive an email confirming that their request has been submitted and another email once it has been completed.

Customers can follow a similar method to request deletion in iOS App. Here’s a complete guide.

View Repeat No-show Customers at a Glance

As a fitness business, you may want to know which customers are repeatedly no-showing to sessions. We have not previously offered an option to provide a quick view of customers that aren’t making it to the classes that they book but we do now!

Now, your Attendance Report is now split into two versions: Session Attendance Report & Customer Attendance Report.

When you go to Attendance By Customer with the ‘No Shows’ view, it will display customers in descending order of Total No Shows. You can also export this report in CSV like any other report.

Bookings Report by Service

It’s good to know how much revenue your business is generating overall but sometimes you may also find it necessary to know how much revenue your individual services are bringing in over a given period. Additionally, you may want to know how popular the service is over a period of time in terms of bookings and/or check-ins.

Knowing this information helps to ascertain how well your service is performing compared to others you offer and help you determine if you need to take additional measures to make it more valuable to your customers and increase profitability. We’ve now added a Bookings by Service Report for you to access this information readily.

To view this report, go to your ‘Reports’ tab. Under the ‘Bookings’ section, you will find the Bookings by Service report showing the total revenue as well as the total number of bookings, check-ins, and no-shows for the service over the date range selected.

Sales Report by Customer

We’re also adding a Sales Report by Customer, so you can determine how much revenue particular customers are generating. This will help to identify VIP customers and can be a crucial tool in building or maintaining customer loyalty programs.

You will find the Sales Report by Customer in your ‘Reports’ tab. The report will show you the Total Gross Sales and Total Net Sales of each customer for any selected date range.

You can also filter by customers with sales activity (those with a non-zero amount under Total Sales for the selected date range) as well as by customers with no sales activity (those who have $0.00 in Total Sales for the selected date range). This will help you identify inactive customers should you want to clean up your customer list.

Refund Updates

Refunds have just gotten a bit more functional and intuitive! You’ve always been able to request refunds on your sales report but what if you want to refund the transaction via a method different from the original purchase? Or perhaps you’re looking to complete an additional partial refund on a transaction? It’s going to be a smooth ride now. Here’s how:

Refund Request Modal

You can easily request client refunds by heading to your Sales Report. Under the Sales Report, identify the transaction you wish to refund and click the ‘Refund’ button on the right side of that transaction.

Clicking it will open a ‘Request a Refund’ popup window where you’ll enter the details and confirm the refund request.

As for the refund method, you can only refund via card if the original mode of payment was a card. But all card transactions can be refunded as Cash, Check, Gift Card/Certificate or other. So, if you prefer to offer cash, write a check, or provide a gift card as a refund, you can easily choose to do that.

Reverse Associated Balances

Fitli now allows you to automatically cancel an auto-renewing membership, expire any account balance and withdraw the customer from any upcoming bookings associated with the purchase being refunded with a simple flip of the switch.

Turn ON the ‘Reverse Associated Balances’ toggle and your client will be withdrawn from any upcoming sessions related to the particular package you’re refunding without you having to go back and manually do it from your client’s account. Saves time and effort. Just what you need when the season gets busy.

Sales Report Update related to Refund

Once the refund has been made, your Sales Report will be updated to reflect the refund. The updated Sales Report will display each refund in a new line with full refund details available. The dollar amount refunded shows up in red. You’ll also find the gross and net sales amount adjusted for the refund at the top part of your Sales Report.

Refund History

You can now take a quick look at the refund details by clicking the ‘Refund History’ icon appearing next to the transaction.

A popup will appear showing you the amount refunded and the refund notes that you entered at the time of submitting the request. It will also show you if you chose to reverse associated balances.

Client Purchase History Report Update related to Refund

We will also update your client’s purchase history to reflect the refund. All they need to do is head to their Personal profile on the web and click the ‘Reports’ section. On the left-hand menu, if they go to ‘Purchase History’, they can see their purchases as well as any refunds that have been issued to them.

Minor Customer List Updates

Previously, you could only see the total number of your customers by exporting the list. It’s a little thing but we know how this can be a hassle sometimes. We have made identifying the total number of customers super easy for you. You can now find the count of active and inactive customers at the top right of your customer list.

Behind-the-scenes Infrastructure for New Payments Processor

As we shared with you in one of our previous updates, we’re switching to a new payment processor. A lot has been going on behind the scenes and we’re currently making big infrastructural changes for the new payment processor.

These big changes in the near future will involve a full migration of data. We will be securely exporting/importing all active cardholder data from the old system to the new system. This will happen as close to the final cutover as possible.

Once all the basic components for payment processing in the new system are built and tested, we will, after ample warning, flip the switch. In the meantime, we’re taking every step to make the transition smooth and seamless for you.

‘Hide From Public’ Toggle for Class Scheduling

Have a class that you’re still working on? Or maybe you’re still in the process of building a calendar and don’t really want to share it with your clients. No worries. You can easily hide your scheduled classes now with just a toggle button.

You can either create or edit an existing class-type service in Admin. To do that, head over to the ‘Services’ section under ‘Products & Services’ and click ‘Add Service’ or ‘Edit’ button shown beside an existing service.

On the Add/Edit Service screen you will find a ‘Hide From Public’ toggle button towards the bottom of the screen. Toggle this to Yes and click on ‘Save’.

To add this class to your schedule, choose the service, professional, facility, and select the date and time for the class. . Finally, toggle the ‘Hide From Public?’ toggle to Yes, and click ‘Create Class’ at the bottom. Remember that the ‘Hide From Public’ toggle will appear here only if it has been enabled for that particular service in Admin.

You will still be able to see your classes on the Business Calendar but your clients will not be able to see the class on the public calendar. Note: If you’ve shared a direct link to the class with your clients, they will be able to view and book the class by clicking on the link.

Fitli Product Updates – July 2022

It’s time for a some quick product updates. We have had our heads down focused on some big changes mentioned in an earlier post. Along the way we are also making some smaller changes. Enjoy!

Obviously, the big topic is the payments changes. The best way to describe what we are doing here is to imagine replacing the engine of a plane while you are actually flying it. OK. That is a little dramatic, but it kind of feels that way. We are absolutely dead set on making the change as seamless as possible so that means lots and lots of testing. For that reason, it’s taking longer than we hoped, but I’d rather move slow and deliver quality than move too fast and cause major issues for your business. We are just about ready to start onboarding to the new processor, but still at least 2-3 months from full go live.

The other thing we are doing (and I should say we have done) is to upgrade the infrastructure. I know that doesn’t mean much to most of you, but it’s a massive effort and what it ensures is that all the hardware supporting the application you run your business on is the newest, fastest, most robust we can afford. This kind of thing needs to be done every couple of years to stay up to date.

Lastly, aside from the big changes, we are implementing as many small product updates as we can along the way. This post will include a list of all the changes we have made since the last update. Some may have been out there a while and some may have just launched.

Fitli is upgrading payment processing

Change. Some love it. Some hate it. But, it is inevitable. It can be challenging but it’s also what enables new and better opportunities. Fitli is a startup in a dynamic environment so we must continue to change and grow to meet your needs and stay competitive. We also try to balance that with the quality and the frequency of the changes we make. Smaller and incremental change is always easier to control. Sometimes, however, a big leap is called for. This is one of those times. The time has come to upgrade our payment processing capabilities.

We are aiming to make this change seamless for you and your clients. We are working very hard to minimize any impact on you during these changes. There will be some, but we think you will agree that the benefits massively outweigh the effort involved.

What is in it for you?

So, let’s get to the heart of it and tell you what are some of the improvements you can expect to see when we launch. This is just a short explanation of the change. In future posts, we will cover each change in much more detail.

Automation of Refunds

We are automating the refund process. Regardless of the payment source, refunds will be processed immediately once you submit them. No more manual processing on the back end. There will be much higher chances of getting a void vs refund for same-day requests. Also, and this is a biggy, funds will be debited directly from your bank account. No more manual charges to your credit card for refunds. And eventually, we will introduce the ability for clients to ‘request a refund’ which you simply approve (or reject).

Introduction of ACH Payments

Some of you have been requesting this for a while now. We are adding ACH processing capability. This has a slower settlement time, but the main benefit is that ACH Payments will be cheaper (~ 33% cheaper) than credit card payments.

Supporting Point-of-Sale devices

Until now, we have not offered any hardware and most of you don’t need it. But some do and let’s be honest, it will be nice to have even if rarely used. You will have to purchase the devices, but think how cool it will be to take payments in the park, at the beach, on the trailhead, and anywhere else you can imagine.

Launching a New Wallet

To be fair, this is more for your clients than you, but that is indirectly good for you, right? We will be launching a newly designed wallet that will allow your clients to easily manage their payment methods in ways they can’t do today. To start, they will have the ability to easily change the default and update expired cards. We will be adding many other cool features here over time… such as prioritization of payment sources, multi-card payments, etc.

Switching to Gross Settlement

This change is required in order to enable some of the things above. It’s not necessarily a good or bad thing; just different. Once we cut over to the new payment processor, you will start receiving ‘Gross Settlement’ which means 100% of your sale will be deposited into your bank account. Today, you receive the sale less processing fees.

Don’t get too excited, the fees are not going away. They are just getting deferred. There will now be a statement (see below) at the end of each month. At that point, the processing and any other relevant fees will be charged and debited against your bank account on file. The upside is you have your money longer and it’s easier to reconcile a sale and deposit. The downside is you need to make sure your bank account has funds to cover your fees at the end of the month.

Additional Notifications & Payment Handling

We will be adding additional notifications for actions such as expiring cards and upcoming recurring charges. There will also be some new rules and handling of failed recurring charges. Combined with some potential new wallet features, we may be able to try multiple payment sources. Then if the charge continues to fail for too long, the recurring package will be canceled and we will stop attempting to charge the client’s payment source(s).

Improving the Payment Vetting and Activation Process

This will be more relevant to new customers and help reduce the risk of introducing fraud into our system. We are planning to integrate with a 3rd party platform to help perform due diligence, collect required documentation, and instantly verify applications for payment processing. This will allow us to activate payments in nearly real-time in the future.

Adding Monthly Statements

As mentioned above, the change from “Net Settlement” where fees are taken from deposits to “Gross Settlement” will necessitate the need for a statement. The statement will include details of your transactions along with associated fees for the given period. Unlike most other payment processors, our goal is to make sure this statement is transparent and simple to understand.

Smoother Chargebacks

This will be more relevant to some of you than others. You know who you are. Chargebacks (aka Disputes) are just terrible to deal with. Period. They are an unfortunate reality if you want to take any form of digital payment such as Credit Cards, Debit Cards, or ACH. The main change here is that YOU will now have direct control over how you respond to these and will not have to work through our support team.

Additionally, funds related to chargebacks will be debited directly from your bank account rather than Fitli’s account. That means we won’t have to charge your credit or debit card for the chargeback. On the downside, the chargeback fee with the new processor is slightly higher ($25 vs. $20 currently).

So, in short, more control for you but with control comes responsibility. We won’t be harping on you constantly to provide us with info to fight the chargeback. That is all up to you. Better? I suppose that depends on your perspective.

Better Reporting

With the new system, we expect to have more and better data which will enable us to provide more and better data to you. We intend to provide you with easier batch settlement reporting, along with some details on charges, declines, disputes, etc

What do you need to do?

By now, we hope you’re already convinced this will be an amazing change. As much as we’d like to complete the process and just flip a switch, it’s not going to be quite so simple. Changing processors means changing legal relationships and contracts. As mentioned above, there are also some differences in the process. Here are the things that will require your engagement.

Complete the Enrollment Process

This is nothing too complicated. Our new processor requires a few additional bits of information for enrollment. Once we kick off the enrollment, you will notice a pop-up across the page requesting you to complete the enrollment process. This will allow us to capture the additional data, afford you an opportunity to view the enrollment application, and ultimately submit the form. This whole process will most likely take less than 5 minutes to complete.

We will be launching the enrollment within the next 2-3 weeks. So don’t mind us popping into your inbox more often than usual.

Have a website (If you don’t already)

Our new processor requires you to have a website for your business to get approved for payments. If you don’t have a website, you may enter your social page such as Facebook. Another option is to use your Fitli portal page. We will make it very easy to select the last option if needed. And if you want help building a website… reach out. We can help with that.

Complete an Annual PCI Survey

Previously, we never troubled you with a PCI survey. We completed it ourselves as the master merchant. However, our new processor requires all our sub-merchants (that’s you) to complete your own annual PCI survey. I’m told this is a 10-minute exercise so nothing too major. This process is still in the works. We will, of course, share more once it’s nailed down. By the way, PCI stands for ‘payment card industry’ and is related to the security of cardholder data.

Timeline

This is a fairly major set of changes. So, we are being very measured in our approach and will take the appropriate time to ensure all goes well.

The first major step will be to open up the Enrollment process. This will get you set up to process payments with our new processor. We will likely kick this off in the next 2-3 weeks during the month of April. The Enrollment period will last for at least a couple of months and likely longer.

While you are enrolling, we will continue to work on updating all the features discussed above. Some changes that are not dependent on the payment processing may roll out sooner, even during Enrollment. However, the big change will involve a full migration of data. We will be securely exporting/importing all active cardholder data from the old system to the new system. This will happen as close to the final cutover as possible.

Then, finally, once all the basic components for payment processing in the new system are built and tested, we will, after ample warning, flip the switch. Aside from some new functionality, it should almost seem as if nothing changed for you.

FAQ’s

Do I really have to switch?

This change impacts every business that is or will process payments through Fitli. So, if you do now or want to do that, then Yes, you will have to switch and complete the onboarding process. The old processor, Braintree, will be discontinued once we complete the cutover.

Will any of these changes impact my pricing?

There are a few minor tweaks, but nothing really very material.

Your subscription pricing is not impacted by this change.
The standard payment processing rate for cards (credit or debit) of all types will remain exactly the same (2.9% + $0.30).

That represents 99% of all fees. There are some infrequent payment processing-related fees that may be impacted slightly. If they do, I expect the amount will be immaterial. For example…

If you ever receive a chargeback (aka dispute), the fee from the processor is $20 today. The new chargeback fee is $25.
Today, you pay 2.9% + $0.30 for a partial refund in addition to losing the original processing fee. Going forward, there will be no additional fee for a partial refund.
There is a new monthly statement fee which we will be absorbing.
There may be a small PCI Non-Compliance Fee if you do not complete the self-assessment annually (to encourage compliance). That is still TBD, but we will likely pass that one on but do everything possible (short of completing it for you) to ensure you don’t ever experience that.

Lastly, there are new capabilities that don’t exist today that involve pricing as follows:

We will be implementing ACH Payments capability. This will be priced significantly lower than card processing at 1.9% + $0.30.
We are enabling the use of physical terminals. These will need to be purchased through us in conjunction with our processor. The prices will vary but only involve a one-time fee.

What happens to all my customer data?

This will be seamless. All of the card data for your customers will be securely migrated to the new processor. In fact, we never touch the data. The processors have a secure process to do this so that nobody’s data is exposed. So, to be honest, you won’t notice a difference. As far as all your other data stored on the Fitli servers, nothing changes there.

August is Hot!

August is Hot and so are these new updates.

While Summer is time for fun in the sun, our team has been locked in a basement coding non-stop. We have sunlamps so it’s not too bad. But hey, to each his own, right? Bringing new features to life is what we live for. As always, please share any feedback and let us know your ideas. In the last release, we made relationships ‘always on’ and gave clients the ability to add and manage their own relationships. Today, we take that one step further and enable Waitlist for relationships. Nothing fancy, but now either a client or the business user can add a relationship on a waitlist. Everything else about a waitlist is the same. A notification email will be sent when they are added. If a spot opens up, they will receive a notification with a link to the session. As always, it’s first come, first serve to book into that open spot.

Additionally, for both clients and relationships, a notification will be sent if they are removed from a waitlist for any reason… including being booked to the session or just being taken off the list. Professionals will also start getting notifications when a client is added to the waitlist for one of their sessions.

Promo Code Updates

Promo codes get a boost in capability now that you can either include or exclude specific users from using a promo code. In fact, when you use this feature on a promo code, only users eligible to view the promo code will be able to view it. This will allow you to create unique discounts for individual users or groups of users… or simply exclude one or more users who you don’t want to use a promo code for some reason. It’s totally up to you.

Package Updates

We’ve taken all the settings from the promo codes and added the same to the packages. So, now you can limit how many times a package can be purchased as well as who can purchase the package. Check it out.

Reminder Notification Configuration

A reminder notification has always been sent out to attendees exactly 24hrs before the session start time. It goes out via email and/or SMS depending on the client’s preferences. Now, the business user can configure this to include up to a total of three reminders. The options include 24hrs, 1hr, and one custom that can be set to anything from 10 minutes to 10 days or whatever you like.

User Interface Updates

Nothing major here. We just made a few tweaks to try to improve the client user experience for booking.

We added status bars at the top of the session profile to indicate when sessions are full and if they have a waitlist. We also moved the book and waitlist buttons to be part of the main page. Check it out.

Stability Improvements

We are constantly looking at the site stability and trying to tweak and adjust whatever is needed to ensure it’s running smoothly. This sometimes means adding or upgrading hardware, bandwidth, memory, etc… Sometimes, it means we need to change the way the application works to be more efficient.

Miscellaneous bug fixes

We are always fixing bugs. Bugs are an integral part of software development. If you find one, please let us know. We do our best to eliminate them as quickly as possible.

Fitli Product Updates are Back!

Check out this big catchup post. Fifteen months of change in one shot.

Hey Everybody. First of all, I’m sorry it’s taken so long to do this. Just like everybody else, we’ve been experiencing and trying to survive the extremely unusual circumstances we’ve been presented with. It’s looking like the worst is behind us and we are determined to come out of this stronger than ever.

To kick things off, I want to start with the BIG changes that are about to drop. Then I’ll continue sharing all the changes that have been made over the last 15 months.

Relationship Changes

With the next release, Relationships will go from being an optional feature to always on.

Some of you are probably wondering… “What is Relationships?”. Well, you can learn more here, but in short, Relationships allows a primary user (or parent account) to add their family or friends onto their account as a sub-account (or child account). Actually, you, the business owner, previously, had to add those relationships for them. That is changing in the next release so that the client can add, edit, and manage their own relationships. Now, I know some of you are cheering.

The main choice you, as the business, have to make is whether to create packages that are shareable or not. This is totally up to you. If you create a shared package, then the package will be useable by the parent account and all their relationships. If you don’t create a shareable package, the relationship can still book but must pay a drop in price instead.

So, the new functionality will be always on and global. Always on just means, it will be there automatically. No switch. Being global is more for the clients. It means they can add and manage their relationships on their own account. They can bring those relationships with them to any business using Fitli. This is extremely rare but possible.

Relationships can be viewed as indented clients in your customer list

Relationships can be managed by the business inside of the Customer Profile of the parent account.

Packages can be set to ‘shareable’ which will enable all relationships of a Client to use that package when purchased.

Clients can add, edit, and manage their own relationships in the Fitli web application.

Drop-In Expiration Dates

In the past, when a customer withdrew or was canceled from a session they had purchased via Drop-In pricing, they received a session credit with a 1 year expiration date. Now, you can set the duration of the expiration period to be provided in that case.

Remember Calendar View

We updated the navigation on the calendar so it will remember what view you used last and open on that view.

Whichever view you use here last will be saved and used the next time you log in.

Portal User Interface Improvements

We updated the user interface of the web portal to remove the Fitli logo and simplify the overall design.

Donation functionality

Packages and retail products now have a new setting related to price called ‘Enable Donation’. If this is activated, the client will be asked to populate how much they want to pay for the given product.

The donation setting is enabled in the Add-Package/Membership or Add Retail Product pages. It will become disabled after the first purchase made by a consumer.

Booking Buffer Changes

If you offer unlimited auto-renew packages/memberships, your client generally has a booking buffer of 30 days beyond the next renewal date. That means they can book a session up to 60 days in the future (in the event the package has just renewed). That becomes an issue when the client’s credit card either declines or is removed. With this change, we are eliminating that booking buffer when a client’s card declines. It will be back in place once payment is completed.

Reporting Changes

We are always tweaking the reports, but here are two specific changes.

Expired Balances – In order to provide a more full picture of customer account balances, we have included an option to view both active and expired balances on the Account Balances Report. This way you can see what balances recently expired.

Pagination – Some of you have lots of data. For performance reasons, it has become necessary to add pagination to most of the reports. You will see this if your report has over 100 line items.

On the Account Balances report, select the text that says “show expired balances” in order to include that data in your output.

Pagination is now employed on any report that exceeds 100 line items.

Enable User Formatting on the ‘Send Message’ function

Now you can format the messages you send from the session profile.

Access the ‘send message’ function within the session profile.

Facilities Updates

Now you can update the status of a facility between active and inactive. If you set it to inactive it will be hidden. You can also remove a facility permanently if it has not sessions associated with it.

Click through to the Edit Facility page to remove a facility. It must not be connected to any sessions.

Reset Waivers

Some insurance companies require you to have clients accept your waiver annually or on some other frequency. This functionality allows you to reset all waivers back to ‘No’. Thus, when a client attempts to book or purchase, they will once again be asked to accept the waiver.

Zoom Integration

When the pandemic hit and lockdowns happened, everybody was looking for ways to continue earning. Aside from Donation, this was the other top request. You can integrate your own Zoom account with Fitli. When you do that, we will automatically create a new Zoom Facility. When Zoom is selected as the facility, it automates the creation of the Zoom meeting and sharing of the zoom meeting data with clients. For the last few months, this feature has been activated upon request only. However, with an upcoming release, it will be available to everybody.

A Zoom facility will show up in the facility list.

The Zoom meeting details will show up in the session profile for the business.

The Zoom meeting details will also show up on the client’s view of the session profile.

Session Notes

We have updated the notes field in the Edit Service section to be shown on the session profile. It’s only visible to business users.

First, update service notes in the Edit Service section.

Then, view the notes on the session profile.

Sliding Scale Pay Rate

For those of you using payroll, we have added a new type of pay rate calculation. This will allow you to pay an instructor different amounts based on how many students attend the class.

In the Add/Edit Pay Rate within the Pay Rate section under Payroll, scroll down to Attendee Sliding Scale.

Persevering through Adversity and a few product updates

This is going to be rough, but we will all get through it together. Find the silver lining and make the best of it. We have a few thoughts and we want to hear from you too!

It seems like I’ve received a COVID-19 update email from every company I do business with so I don’t want this to be another one of those. You know your situation in your state and town better than I do. The one commonality is that this is going to be a rough couple of months (or longer). I just wanted to share with you a few key points that I think you will find relevant and, hopefully, helpful as you consider how to tackle this.

Fitli is here for you and we are going nowhere. We will continue to be available for Demos, Setups, Support meetings, and of course the live customer support from 7am – 7pm CST Monday – Friday as usual.

We have been fielding questions from several of you on how to do certain things to respond to the situation. We’ve also been watching how others are handling it. So, we thought it would be a great idea to start a forum post where you can all view and share your thoughts. Please visit, read, and contribute at How to Survive the Coronapocalypse topic on our forms. Use your Fitli account info to log in.

Among other things, we will discuss how to push out your auto-renew charges for clients, extend expiration dates on packages, and add a video conference link into your class and appointment confirmations and reminders.

IDEAS ON HOW TO SURVIVE THE CORONAPOCALYPSE

Calendar List View

Finally, it’s here. The “list view” has been on our “list” for a long time. Finally, we got it done. There really isn’t much to say. Just check it out. You can updated your embedded portal to default to this view if you like. Just check with support if you have questions.

Booking Policy Window

Now, you can set a start and end to booking for classes and appointments. For example, you may want to only allow clients to book up to 60 days into the future. You could not do that before. Now you can.

Edit Start Day/Time of Empty Session

If a class on your calendar is empty, you can now updatae the start day/time. Before, you had to completely cancel and add it back. For now, this only works on one session at a time, not an entire reocurrance.

Show Refunds on Client Purchase History Report

Before now, clients had less visibility into the refunds you provided them. Now they can see it right there on their purchase history report. They still get the confirmation email.

New Service Filter on Payroll Report

Even if you don’t have employees (or if you d0), the payroll report enables you to see some revenue stats in ways you could not easily do so before. Now, we’ve added a service type filter so that you can see all the payroll report data for a specific class or appointment type.

Dynamic Buttons on iOS App

Now, depending on the users status relative to a class or appointment, the buttons will present differently. For example, if a client has a package that applies to a class, it will say book. If the client has no package, it will show the drop in price. If the session is full, it will say “full”, and so on.

Cancel a Refund Request

Oops! You made a mistake and issued a refund that you should not have. Before now, you had to message Fitli support to ask them to cancel that. Not anymore. Now you have control to recall that refund request on your own… as long as you do it before we process it.

Now, you can create a random charge right in the purchase flow. This should help with several use cases such as tipping, multiple item checkout, and any other reason you’d charge somebody for an amount that’s not in your price list.

Client Photo Uploads

The title says it all. Clients can now upload photos of themselves in the account info tab within the Personal section. Additionally, a business user can upload a photo of a client as well. So where do these photos get displayed? As of right now, they will show up in the customer list, session profiles, and customer profile. More to come on this down the road.

Disbursement Dates

Why is this important? Well, for those of you who want to reconcile your bank deposits with your payment transactions, this give you what you need to do that. Historically, you have had to request a report from Fitli Support. We then export data from Braintree (processor) and reformat it manually. You would have to remember to request it from us and then wait for us to complete the request. Now, you can export your sales report and get the same data. Yay! Happy reconciling!

Professional Profile Preview

You have all loaded a photo and edited your professional profile right? If not, you should. It improves the experience for your clients using the web or mobile application. This is just a small thing, but we’ve now added a preview so you can see what your changes will look like to clients.

Purchase Flow Experience Update

Just a little touch up to make things cleaner. Previously, if you had a long package description, it would push the rest of the screen down. That was just yucky! No more! Now, you click on the package name to view the description and other stats. If you have too many packages, you click “Show more…” to see them all.

Quick Booking Filters

We’ve made a small improvement to quick booking to make it easier to use. Now you can filter to show just the days you want to book and exclude all the others. Hopefully quick booking is even quicker now.

Mobile App Updates

We know it’s been a very long time since a mobile app update. While this is not a huge update on the front end, there was a lot of work on the back end as we had to do some technology upgrades. We’ve also tweaked some bits of the UI in places and added support for Sales Tax and Retail products.
